if you want to give your notes a more consistent appearance and provide a more complete record of your meetings, you can add meeting details from outlook into your onenote notes. note: you’ll need to have outlook 2016 and onenote 2016 installed on the same computer to add meeting details to your notes.

choose the time and subject of the meeting you want, and then choose insert details. if you want to also include this information in any of your existing notes, move the mouse pointer over the inserted details, click to select the note container that appears, and then copy (ctrl+c) and paste (ctrl+v) those details elsewhere in your notes. you can freely add to, change, or delete any part of the meeting details in onenote without affecting the original meeting notice in your outlook calendar.

in the past year, as many of us have been working from home, i’ve noticed more and more interest from people wanting to learn how to move to digital notetaking using microsoft onenote. in part, i think the roll out of microsoft 365 across organisations, in response to the need to work remotely, is responsible for this increased interest in onenote. i summarised some aspects of this integration in a previous article here. if you’re a regular reader of this blog, you’ll know i love using microsoft outlook in its own right. of course, more email and more meetings can lead to more confusion as it’s easy to lose track of conversations, or to overlook a commitment you’ve made (or someone else has made). there are two ways to link meeting notes in onenote with a meeting in the outlook calendar.

the other approach is to insert the meeting details into a page in onenote from the onenote side. select a meeting and the information from that meeting will be inserted into your page. from onenote for windows 10 (recall there are two different windows versions – (see my article on this here) you can do the same thing, though you need to navigate to your “insert menu” to locate your meeting details in the ribbon. from inside a meeting in outlook calendar, you can access your meeting notes in onenote by selecting the onenote icon in the outlook meeting as shown in the screenshot below. i hope you can see the value the integration of microsoft outlook and microsoft onenote has for users of both programs. i’ve written a number of posts about onenote previously, and i also offer customised in-house training in the use of onenote.

in outlook 2016, open the meeting for which you want to take notes. choose meeting > meeting notes. in the meeting notes dialog box, do one of the following: to share your meeting notes with others, choose share notes with the meeting. once you select a meeting, the onenote page is automatically populated for you in a standard way for every meeting by using the contents of the add meeting details in onenote desktop on windows go to the home tab and click meeting details. if you have a meeting for today, you can to share notes with other meeting attendees, open up the outlook meeting request. if you haven’t already done so when you sent out the meeting invitation, on, outlook meeting minutes template, onenote meeting notes, onenote email meeting notes, microsoft teams meeting notes onenote. insert outlook meeting details into an existing onenote page (from onenote)open the onenote page where you intend to take the meeting notes.click the insert tab > meeting details. choose a meeting from the available list. the meeting details will be inserted into the onenote page.
